Privacy Policy
This policy explains how Your Big Day (“we”, “us”) collects, uses, shares and deletes personal information, in line with the Australian Privacy Principles. It covers this website, our shop, and the wedding pages we host for couples (the Wedding Suite). Last updated 29 October 2026.
What We Collect
- Customers: when you order, request a quote, book or contact us, your name, email, phone number, event details and anything you choose to tell us about your day. If you create an account, your sign-in email, your password (stored only in scrambled form), favourites and cart.
- Couples using the Wedding Suite: the details you add to your wedding page, such as your names, date, venue, story, menu, photos and your guest list.
- Wedding guests: the details a couple adds or a guest gives on the couple’s page: names, household, email, mobile and postal address, RSVP replies, meal choices, dietary needs, song requests, messages to the couple, seating, and photos shared to the photo wall with the name entered.
- Payments: processed by Stripe (including Afterpay). We never see or store your full card details.
- Website use: cookies that keep you signed in, and your cart and preferences stored in your browser. Some pages show content from Instagram and Google Maps, which may set their own cookies. On our public pages (not your account, the admin console or wedding pages) we use Contentsquare to see how visitors use the site, such as clicks, scrolling and anonymous session replays with anything typed into forms hidden, and the Meta pixel to measure our Facebook and Instagram ads.
Dietary needs can reveal health information. We collect them only so the couple and their caterer can look after their guests, and use them for nothing else.
How We Use It
To manage orders and bookings, communicate with you about your event, run wedding pages (RSVPs, find your seat, photo wall, invitations and reminders), deliver our services, process payments and keep business records as the law requires. We don’t sell personal information or use guests’ details for marketing.
Photos shared to a photo wall are checked automatically by an AI service before they’re shown, so unsafe or inappropriate images are held back for the couple to review.
Wedding Pages and Guests
Each couple decides who is on their guest list and what their page shows. A wedding page can be opened by anyone with its link unless the couple adds a password. Couples can see their guests’ replies and download their guest list. If you are a guest and want your details changed or removed, ask the couple or email us.
How Long We Keep It
- Wedding guest details and photos are kept until 90 days after the wedding. About a month after the wedding we email the couple a link to download everything, and remind them 15 and 5 days before the date. We then delete the guest list, RSVPs, messages, invitation links and every guest photo, and the wedding page shows a short thank-you message. A couple can keep their page online longer with Keep It Online; the new date is shown in their dashboard.
- Orders and payment records are kept for five years, as Australian tax law requires.
- Accounts stay until you ask us to close them.
- Enquiries and bookings are kept in our customer records for as long as we need them for your event and our business records.
Who We Share It With
Only service providers who help us run the business, and only what each needs to do its job. Some of them store or process information outside Australia:
- Supabase: our database, sign-in and photo storage (servers in India)
- Vercel: website hosting (United States and other regions)
- Stripe: card and Afterpay payments
- Resend: sign-in codes and emails to couples and guests (United States)
- Make and Airtable: our enquiry and booking forms
- Anthropic: the automatic check of photos shared to a photo wall (United States)
We may also share information when the law requires it.
Keeping It Safe
Information is stored with providers who use encryption and access controls. Guests’ names (and, once seating is set, their tables) are used on the wedding page so guests can find their invitation and seat. Contact details, addresses, replies, meal choices and dietary needs are only visible to the couple, the people they invite to their dashboard and our staff.
Your Choices
You can ask to see, correct or delete your personal information at any time by emailing bookings@yourbigday.events. Couples can ask us to delete their wedding’s photos and guest details early. If you’re unhappy with how we’ve handled your information, tell us first and we’ll respond within 30 days. You can also contact the Office of the Australian Information Commissioner at oaic.gov.au.
